BLUEBIRDS / HARLEY BAR – TERMS & CONDITIONS
KEY POINTS – PLEASE READ BEFORE BOOKING
- Your booking is NOT confirmed until signed Terms & Conditions are returned AND payment is received
- All deposits are non-refundable
- ANY payments made after 14 days are strictly non-refundable
- You can upgrade your package, but you cannot remove or downgrade anything once added
- Final balances are due 1 month before your event
- A £200 cash security deposit is required on arrival for ALL bookings
- Food, menus, DJs, and entertainment are subject to availability and may change
- All dietary requirements must be pre-booked in advance (not on the day)
- Minimum bar spend may apply depending on your package
- No refunds will be given for cancellations, behaviour issues, or circumstances outside our control

1. AGREEMENT TO TERMS

IMPORTANT TERMS & CONDITIONS
​
All customers must read, sign and return the current Terms & Conditions before any booking can be confirmed.
​
Please note: From March 2026, Bluebirds introduced a signed booking form requiring customers to acknowledge and sign the Terms & Conditions before making payment.
​
For all bookings made before March 2026, the same Terms & Conditions still apply. Prior to the introduction of the signed booking form, customers accepted these Terms & Conditions by proceeding with their booking and paying their deposit, as stated on all invoices, quotations, booking confirmations, website information and verbal booking discussions.

The introduction of the signed booking form in March 2026 was implemented solely to provide additional written confirmation of acceptance. It did not introduce new Terms & Conditions or alter any existing policies.

By paying a deposit or making any payment towards a booking, customers acknowledge and accept the Terms & Conditions applicable at the time of booking.

1. A booking is not confirmed under any circumstances until:
The signed Terms & Conditions have been received (for bookings made from March 2026 onwards), and/or the required deposit or full payment has been received.

The booking organiser accepts full responsibility for all payments, guests and conduct relating to the booking

2. DEPOSITS, PAYMENTS & REFUND POLICY (STRICT)
All bookings operate under a strict no-refund policy:

- Deposits are non-refundable
- A 14-day cooling-off period applies (excluding the deposit)
- ALL payments made after 14 days are non-refundable
This applies to any additional payments made at any time
Example:
£500 deposit + £500 paid after 14 days = £1,000 total paid
If cancelled → NO refund of any amount
Once full payment has been made, the booking is 100% non-refundable
Final balances are due 1 month prior to your event
3. PACKAGE TYPES & PAYMENT STRUCTURE
£99 Party Package
- Full payment required upfront
- Extras payable up to 1 month prior
Standard Party Packages
- £200 non-refundable deposit
Large / Premium Party Packages
- £300 non-refundable deposit
Weddings
- Standard: £500 non-refundable deposit
- Royal: £1000 non-refundable deposit
- Full balance due 1 month prior

4. SECURITY DEPOSIT (ALL BOOKINGS)
A £200 refundable security deposit is required in cash on arrival.
Returned at end of event provided:
- No damage
- No excessive cleaning
- No rule breaches
Additional costs beyond £200 must be paid.

5. MINIMUM BAR SPEND
Applicable to selected packages (including £99 package):
- Minimum spend: £600
Any shortfall must be paid before leaving.

6. CHANGES, UPGRADES & REMOVALS
- You may upgrade your booking at any time
- You cannot remove, downgrade, or cancel any added items
Once added, all items become financially binding, including:
- DJs
- Entertainment
- Catering
- Add-ons
These services are secured immediately and cannot be refunded.
FOOD, ENTERTAINMENT & AVAILABILITY
All food, menus, DJs, and entertainment are:
Subject to availability and operational requirements
We reserve the right to:
- Change menu items
- Substitute catering options
- Replace or adjust entertainment
Equivalent alternatives will be provided where possible.
No refunds will be issued for these changes.
8. ALLERGENS & DIETARY REQUIREMENTS
- Must be declared in advance
- Cannot be accommodated on the day
Customers must confirm requirements with us before booking.
We cannot guarantee a fully allergen-free environment.
Additional charges may apply for:
- Gluten-free
- Vegan
- Specialist dietary meals

9. CLEANING, WASTE & EXTERNAL ITEMS
Customers are responsible for removing all items brought into the venue.
- No food or waste may be left
- Venue must be returned to original condition
Waste removal charges:
- Pre-booked: £25
- On the night: £32
​
10. OUTSIDE CATERING
- All food and waste must be removed
- No food may be stored overnight
​
11. BEHAVIOUR & EVENT TERMINATION
We reserve the right to:
- Refuse entry
- Remove guests
- End events immediately
Reasons include:
- Intoxication
- Aggression or abuse
- Unsafe behaviour
No refunds will be issued
12. ALCOHOL, ID & DRUG POLICY
- Challenge 25 policy enforced
- Valid ID required if requested
Strictly prohibited:
- Outside alcohol
- Illegal drugs
Violations may result in removal and bans.

13. TICKETED EVENTS
- Tickets are non-refundable
- Rescheduled events remain valid or transferable within 18 months
​
14. FORCE MAJEURE
If events cannot proceed due to circumstances beyond our control:
- No refunds will be issued
- Events will be rescheduled or credited
- Credit valid for up to 18 months
15.LIABILITY & RESPONSIBILITY
- Guests attend at their own risk
- No responsibility accepted for lost, stolen, or damaged items
Car park use is entirely at owner’s risk.
16. MANAGEMENT AUTHORITY
All management decisions are final regarding:
- Safety
- Behaviour
- Payments
- Enforcement of these terms

17. CHARGEBACKS & DISPUTES
By agreeing to these Terms & Conditions, you accept that:
- All payments are made under the stated non-refundable policy
- Any attempt to reverse payments (chargebacks) will be disputed with this agreement as evidence

18. GENERAL CONDITIONS
- Signed Terms & Conditions are required before booking
- Bookings are not confirmed without payment
- Breach of terms may result in termination without refund
